Before · The problem
An academy with dozens of players and several coaches ran on WhatsApp, paper and memory. Who attended today? Whose turn is it to be hero of the session? Who hasn’t been photographed in weeks? Which subscription expires? And the parent report after every session ate the coach’s time — or never got written. Parents felt ignored, coaches were drained by admin, and decisions had no data.

One morning screen: today’s priorities, tasks, birthdays, expiring subscriptions, attendance KPIs.

A profile per player with a merged timeline — attendance, media, awards, notes, parent reports.

A six-step wizard: info → attendance → awards → media → attention → report.

Fair rotation
Four automatic queues so every player gets their turn: hero, photo & story, special attention, parent report.

Training report generator
From one session: the parent report, the Instagram caption, the story summary and the coach’s internal note — in Arabic, ready to copy.

Follow-ups generated automatically: expiring subscription, absent player, player not photographed.

Operations agent (AI)
Reads live academy data and produces a daily, evidence-backed Morning Brief. AI suggests → a human approves → the system executes.

How we worked · How it was built
- Next.js · TypeScript · Supabase (PostgreSQL) · Arabic RTL interface — built in three sprints with automated tests and versioned releases.
- A generic, reusable AI runtime (registry, tools, guard, runner) kept separate from academy logic — the same layer now serves other clients.
- Security: signed JWT sessions, keys on the server only, no player data sent to an AI provider un-anonymised.

Numbers are published once the client approves them — we never invent figures.
